Position Summary

The Board of Directors Liaison will serve as the point of contact for Vista Equity Partner’s private equity team, portfolio companies (40+) and external directors to schedule all board meetings. The role requires scheduling up to 40+ quarterly board meetings per year(160+ meetings a year). The role will involve a variety of support functions including catering arrangements, dinner reservations, conference room booking, management of IT, and day of support of meetings including: welcoming guests, catering setup and clean up, meeting room set up and clean up and being available for all other in person asks.  Additionally, as part of the administrative team, this role will work in lock-step with the Executive Assistants to ensure seamless execution of all aspects of board meetings. The successful candidate will possess good communication skills, attention to detail, are innately skilled in forging new relationships, have superior critical thinking skills, strong technical skills and have the ability to multitask while adhering to strict deadlines.

 

This role is based in Austin, TX at least 4 days a week in office and is for an immediate start.

Responsibilities

  • Maintain Board of Directors database (fiscal year data, internal attendees, portfolio company attendees, external attendees, previously used venues/restaurants)
  • Main point of contact for Executive Assistants and the Private Equity team
  • Main point of contact for external board members
  • Strategically schedule Quarterly Board meetings for Vista Portfolio meetings
  • Distribute calendar invites to all parties with comprehensive notes and details
  • Reserve the conference space
  • Assist with on-boarding of external directors (travel, dietary restrictions, scheduling restraints)
  • Order catering and schedule dinners for internal and external clients
  • Escort guests through the office
  • Reschedule meetings as needed

Qualifications

  • Bachelor’s degree preferred
  • 5+ years of experience in scheduling and meeting coordination amongst high level executives
  • Administrative experience preferred
  • Ability to work with many different groups of people, all with varying agendas
  • Ability to treat sensitive/confidential information with appropriate discretion
  • Strong sense of urgency, adaptability, flexibility and resourcefulness
  • The ability to function professionally under pressure, while managing multiple concurrent projects and deadlines
